  • PrintBoss Reseller Program Makes You Money

  • QuickBooks® Virtual Conference and Training This September

    On September 16-17, we are excited to participate in the QuickBooks Accounting Virtual Conference, a Woodard® event.  This is a free event for accounting professionals.

    The purpose of the event is training.  With over 5,000 accountants having registered for the conference, Intuit says it is the largest training event for QuickBooks accounting professionals.  The two day event will cover training on both QuickBooks Desktop and QuickBooks Online.  While the majority of training will be on QuickBooks Online, the opportunity to learn about what’s new with QuickBooks Desktop is exciting for many of the ProAdvisors out there servicing millions of clients on the desktop editions.Virtual booth

    The majority of the trainings sessions will cover QuickBooks Online Certification exam prep.  This is a 5 part course spanning the two days.  Attendees will also have the opportunity to learn what’s new in QuickBooks Online, as well as best practices when converting clients from QuickBooks Desktop to QuickBooks Online.  Attendees can listen in on keynote sessions as well, such as Jim McGinnis’ “Firm of the Future” talk, and another on selecting the right payroll system.

    Beyond going to keynotes and general sessions, there will also be ample time for networking with fellow attendees and visiting the virtual exhibit hall.  This is a great opportunity to learn about the many third party products in the QuickBooks market.  With the rise of QuickBooks Online, Intuit is relying more and more heavily on their third party app developers.  It is widely known that parity with the QuickBooks Desktop versions will be met with third party QuickBooks Online add-ons.  So this is an effective time to get to know some of these apps for solutions to you and your clients’ needs.

  • What is Check21 and How Does It Affect Your Business?

    We’ve had a lot of people ask us about Check 21 (officially known as The Check Clearing for the 21st Century Act).  What is it?  Is it secure?  Do I still have to print with MICR toner?  Will PrintBoss help me manage this confusing legislation while printing my QuickBooks checks?

    So what is Check 21?  Check 21 is a federal law designed to enable banks to handle check payments electronically.  The idea behind the law is to make check processing faster and more efficient.  Before Check 21 was enacted in 2004, the bank where a check was deposited had to physically transfer the check or checks to the bank that would pay them.  Now with the Check 21 legislation, banks can take a picture of the front and back of a check and send it, along with the associated payment information, electronically to the bank that will pay it.  If either bank requires a physical copy of the check, a “substitute check” can be printed from the pictures taken.  This saves the banks and us the expense of transporting the checks between banks, as well as the associated time.  This also allows for you to receive back your check with your bank statements.  Check 21 stipulates that any agreement between a bank and its client must continue to be upheld.  By law, banks can return either a substitute check or the original check to you, but this is typically agreed upon between you and your bank which will be returned.

    What about security?  Electronic payment transfer has been around a lot longer than Check 21 has.  All payment information sent between banks is processed via secure technology that has been tested and proven secure.  Print your QuickBooks checks with no fear.

    Do I still need to use MICR toner?  Although few institutions, including banks, still use Magnetic Ink Character Recognition to process checks(desktop MICR readers used by paycheck cashing services are among the remaining dinosaurs), Check 21 still stipulates that magnetic ink is to be used for the MICR line.  This is where PrintBoss helps you print QuickBooks checks in accordance with Check 21.  PrintBoss will print your MICR line accurately and in accordance with Check 21 (just make sure a MICR toner cartridge is loaded in your printer) onto blank check stock every time with no extra clicks.  It can provide positive pay files as well, among a number of other security features.  Click here to learn more about PrintBoss and its features.

  • QuickBooks Accounting Automation Add-Ons

    Go to any accounting industry conference (like Sage Summit at the end of this month!) and a common term and theme you will hear is Automation.  Nowadays accountants are told to automate everything, and for good reason.  Automation does several things: one, it saves time, reducing manual and duplicate data inputs; two, it reduces errors due to manual processes; and three, it frees resources to focus on other parts of the business.

    Let’s look at a few examples.

    By using an expense management system, like Expensify, you no longer have to collect and input by hand every receipt you collect on a business trip.  Instead, by taking a photo of the receipt with your mobile app, it will read, archive, and enter the expenses in your QuickBooks (or whichever accounting software you use).

    Or what about time tracking?  There are all kinds of apps out there, like TSheets, to help your business or your client’s business manage employee time.  With a mobile app, employee time can easily be tracked, invoiced, and emailed for payment.  All of this is without human data input.

    Accounting automation can also be found in document distribution.  When you sell a product or service to another business, you must invoice them.  The problem is that often clients don’t want all invoices sent the same way.  Some want them emailed, while others want them mailed.  With PrintBoss, an invoice created in QuickBooks can be sent to PrintBoss, and emailed and/or printed for mailing automatically.  But that is not where the process ends.  Invoices need to be archived.  Simultaneously while PrintBoss is emailing and printing mail copies, it can also automatically save a PDF version to a designated location on a computer or server, or print an archive copy.  All of this happens by simply clicking print in QuickBooks.

  • Scaling New Heights 2015 Takeaways on QuickBooks and Business

    Scaling New Heights 2015 is in the books!  In four intense days, attendees took a deep dive into QuickBooks and its surrounding environment.  Through general sessions, class instruction, sponsor exhibits, and networking, attendees had the opportunity to grow and improve their own businesses and practices.  Here are our takeaways:

    1)      QuickBooks Online is growingPB at SNH

    No doubt Intuit is pushing QuickBooks Online.  Every Intuit rep, whether in the QuickBooks booth or giving a speech on the main stage, preached the value of QuickBooks Online.  This was starkly contrasted by the nearly 1500 QuickBooks Pro Advisors in attendance that constantly questioned Intuit on their handling of the desktop legacy programs.  But this is nothing new.  The theme of the last several years of QuickBooks related conferences has been, why is there no parity between QBO and QB Enterprise in particular?  SNH15 was no different, neither in the questions being asked, nor in Intuit’s response.  Simply, QBO will never reach feature parity with QuickBooks Enterprise.

    As Intuit employees get pushed more and more with this line of questioning, their responses eventually come down to, and I’m paraphrasing here, “Look, you can complain and do/sell anything you want.  We are trying to move everyone to QuickBooks Online.  So either get on board or sell something else.”  Their actual phrasing is more along the lines of, QuickBooks Online is a growing market and we just want to make you all aware of the opportunity.

    Intuit did give two telling stats regarding QBO.  First, there are currently about 1 million QBO users.  Last Fall at QuickBooks Connect they quoted 700K QBO users.  That’s significant growth in less than one year.  Second, 60% of all new QuickBooks users are using QuickBooks Online.  So while most users are still on QuickBooks desktop versions, that number is changing in favor of QBO.

    2)      We sell a Story and our product is a Reaction

    This was a common theme throughout the conference.  Jon Taffer ("Bar Rescue" host) yelled about it during his animated keynote and Joe Woodard continually brought it up during his many speeches.  Telling a story means that you’re not just SNH speechgiving a client financial data or processing their payroll, you are giving them the ability to make decisions to grow their company so they can move into that new office building or put their kid through college.  The excitement or joy or enthusiasm your client feels after talking with you and hearing your story is your product.  That’s why you’re in business.  Making money is a nice product of being in businessJ.

    3)      Accountants are moving from Score Keeper to Coach

    With all the new technology in the marketplace, accountants now have the tools and time to be less bookkeeper and more business consultant.  Data automation allows much of the time accountants used to spend collecting and inputting data to be used instead to analyze and recommend.  This is both more productive and lucrative for the client and accountant.

    4)      Scaling New Heights 2016 is in the Bahamas!

    There’s not much else to say other than PrintBoss will be there!

  • What To See At The Scaling New Heights QuickBooks Conference

    We’re excited to be going to New Orleans this Sunday to exhibit at the Scaling New Heights conference being held at Hyatt Regency Hotel and Conference Center.  Every year, Joe Woodard and his team put on an incredible conference filled with inspiring talks and informative classes.  Here are the sessions we are most looking forward to at this year’s Scaling New Heights:
    1)      Opening Keynote by Joe Woodard (Sunday—4-6pm)

    Joe always has his finger on the pulse of the accounting industry and more specifically the Intuit market.  His keynotes are poignant, fun, and set a great tone for the rest of the conference.  Whenever Joe talks, you want to listen.

    2)      Market Innovation Update with Chris Farrell, CEO of Tallie (Monday—7-7:50am)

    The accounting industry is exploding with innovation.  In 2012 and 2013, Tallie was ranked as one of the top 50 fastest growing startups by Inc. Magazine.  Since 2008, Tallie has been a model of growth and adapting to market needs and wants.  The opportunity to hear Chris Farrell talk about innovation is almost as good as hearing Joe Woodard talk about the accounting market.  They are some of the best in the business.

    3)      Featured Breakout with Frank Abagnale (Monday—4:20-6pm)

    For those of you who don’t know, Frank Abagnale is a legend in security.  He’s been on both sides of the issue, as a security threat and a security enforcer.  If you don’t know his story, watch the movie “Catch Me If You Can,” staring Leonardo DiCaprio, which was inspired by his life.  Frank works closely with Intuit to improve the security surrounding their software and products.  We all know how important security is in accounting, so hearing Frank Abagnale talk is always a must.

    4)      Open Exhibition hours (everyday)

    This is the reason we come to conferences like Scaling New Heights.  As an exhibitor, we get the chance to speak directly with users and potential users.  It’s a place not only for us to network, but also to hear the frustrations, wants, and needs of QuickBooks users.  There’s nothing better for us than to work with businesses to find solutions for their issues.  The exhibition floor is also a great place to get an idea of what is happening in the market.  There’s no better way to discover all the new companies and products participating in the QuickBooks market.

  • Blank Check Printing for QuickBooks Online and 2015

    We’ve received a lot of questions lately about PrintBoss’ compatibility with the new Intuit products, like QuickBooks 2015 and QuickBooks Online.  In short, YES!  PrintBoss integrates with all QuickBooks products, even QuickBooks Online.  But we have even more exciting news.  Wellspring Software is preparing to launch a QBO specific app!

    But first, some explanation on the PrintBoss integration and PrintBoss updates.  PrintBoss integrates with QuickBooks as a printer driver.  This creates a simple, seamless, and powerful integration.  All information is passed to PrintBoss through this integration.  We test all new versions of QuickBooks with PrintBoss before they are released.  While most QuickBooks updates, like going from 2015 to 2016 do not require a PrintBoss update, sometimes check forms will be altered in the new QuickBooks.  This does not mean that PrintBoss will not work with QuickBooks, it only means that your check forms need to be tweaked.  All this takes is a quick form adjustment.  If you have a Wellspring Software service contract, you can simply call into our support team and they can adjust your forms for you.  Also, if your PrintBoss does require an update, a Wellspring Software service contract will allow you to update your system.  These contracts are annual agreements and cost $100 when you buy PrintBoss.  They truly create a hassle free experience as they cover all support needs and updates.

    While PrintBoss does support QuickBooks Online currently (here are some tips on setting the two up to work together), Wellspring Software is developing a QuickBooks Online specific app to work in the cloud environment.  This will make it easier for QBO users to set up PrintBoss for check printing, and will also allow users the freedom of mobility.  By operating in the cloud, QBO users will be able to print to blank check stock with PrintBoss from anywhere to any local printer.  We will have more announcements on the new QBO product soon, so stay tuned and like us on Facebook or follow us on Twitter to learn more as we draw nearer to launch.

  • Print Checks to Blank Check Stock for Accountants

    If you print checks from more than one bank account, you need PrintBoss.  We’ve uttered this line to many potential customers whether at conferences or over the phone.  What we mean by this is that it is more cost and time effective to use blank check stock than preprinted stock when printing from two or more bank accounts.  This axiom applies to all businesses.  For the purposes of this blog, we would like to focus today on the impact of PrintBoss for accountants and bookkeepers.

    When you are managing multiple companies’ books, there are significant security risks surrounding the data you use and the processes in which you use that data.  Because of this, a banal task like check printing becomes fraught with liability.  The threat of your clients’ bank information being stolen is real and significant.  While QuickBooks offers software security, printing checks to preprinted check stock (check stock that comes preprinted with company name, address, check number, and account and routing numbers) brings with it inherent risks.  What if your clients’ stock is stolen?  What if someone sees the unused stock lying around the office and steals the bank information?

    For both of these reasons, you must keep your clients’ unused preprinted stock under lock and key.  This can be a hassle in terms of space (do you have enough lock boxes in your office?), as well as in terms of time spent having to retrieve each stock from locked closets and drawers.  With blank check stock, unused stock is never a security risk.  It contains all the sensitive information of blank, white paper.  You can leave it anywhere you want in your office that is most convenient, like on your desk top if you want, and you will not increase your liability risk.

    Using blank checks as an accountant will also save you considerable costs as you will only have to buy one check stock.  While with preprinted checks you would have to buy individual check stocks for each client, with blank check stock you can use the same stock for every client.  Furthermore, while a stock of 1,000 preprinted checks can cost over $300, a stock of 1,000 blank checks costs $65 or less.  Multiply that savings by the number of clients you have and you can start to imagine the enormous savings that printing checks to blank check stock allows.

    Blank check stock not only increases your accounting security, but it saves you money doing it.  Use one check stock for all your clients and save time and money.  That’s why we tell people, if you print checks from more than one bank account, you need PrintBoss.

  • Kentucky Derby Hats and Check Printing Features

    Tomorrow marks the 141st running of the Kentucky Derby.  The race is an iconic event in American culture.  While the three events comprising the Triple Crown define the sport of horse racing, to the general public, the Kentucky Derby stands as the Super Bowl of the sport.  Yet, given the horse race itself only lasts about two minutes, it is much more the history and pomp and circumstance of the event which provides its fame.  And there may be nothing more pompous than the famous hats that fill Churchill Downs the first Saturday of every May.

    It is these hats that have come to define or at least symbolize the Kentucky Derby.  As they add color to the horse racing event, we wondered what adds color to check printing software.  What are the “hats” of these QuickBooks add-ons?  In other words, what are the important features surrounding check printing?

    Security

    Check and accounting security is the most important issue surrounding payments.  Protecting your sensitive information, including financial figures and bank account information, is paramount in any software you use.  Features like data encryption and login protection, are essential.  Being able to control user rights enables businesses to efficiently utilize their workforces without jeopardizing security.

    Positive Pay

    Positive Pay is a little known feature in the check payment world, yet it is the most secure way to process checks.  Positive Pay files contain all the information of a check run, including the check number, amount, and payee information for every check printed.  This file is then given to the bank.  In order for money to be drawn on the bank account then, any check sent to the bank must match the information on the Positive Pay file.  If it does not, then the check is rejected.  By using a check printing software that automatically creates Positive Pay files, businesses can protect themselves efficiently.

    Signatures

    All checks need to be signed.  Some businesses even use signing rules based on dollar amounts or bank accounts to determine who in the company needs to sign.  Using a check printing software that enables electronic signatures with signing rules will not only save time and headache finding the right people to sign each check, but will also maintain security through encrypted signature files.

    Email and Archive Documents

    Paperwork doesn’t end when the check is printed.  Unfortunately, this is often just the beginning (or at best the middle).  Whether it is a copy of the invoice, a purchase order, or any other information, accounting documents need to either be sent or archived.  A good check printing software will allow all documents surrounding a payment to be attached and sent or archived.  By creating PDFs of the docs, they can be sent in an email or saved on a server.  Either way, document distribution is a necessary feature to complete a check payment.

  • Happy Equal Pay Day!

    PrintBoss helps a lot of people process their payroll checks.  Consequently, we spend a lot of time working with companies to set up their payroll processes in an efficient manner that saves the company money and gets their employees paid however they want.  We enjoy this part of the job because people enjoy getting paid.  People work hard for a business and their paycheck is the company’s way of showing its appreciation.  By paying market value for services rendered, employees and employers create an honest and mutually beneficial working environment.

    It’s for this reason that Equal Pay Day, celebrated on a Tuesday every April since 1996, is such an important day.  Equal pay for equal services is fundamental in driving a sustainable workforce.  Unfortunately, according to the Bureau of Labor Statistics, women today earn 78 cents to a man’s dollar.  This figure is even more dramatic for women of minorities, with black women earning 64 cents and Latinas 56 cents to the dollar.

    This past Tuesday, April 14th, marked Equal Pay Day for 2015.  The event is held on a Tuesday to symbolize how far into the work week women must work to earn what men did the previous week.  Since 1963 when the Equal Pay Act was signed, the pay gap between men and women has closed at a slow rate.  In 1963, on average women earned 59 cents on the dollar.  While we are moving in the right direction, we can move faster.  Many call for transparent pay scales across companies and industries.  Others call for more women in executive positions.  In the end, we need to use all solutions.
