  • Scaling New Heights with QuickBooks Checks Fraud Security

    We’re about a month and a half out from the Scaling New Heights 2014 conference in San Antonio.  One of the themes of this year’s conference is fraud protection and prevention.  On Tuesday of this week some of you may have participated in a webinar hosted by Joe Woodard (his company puts on the conference), called, “Reduce the Risk of Fraud for QuickBooks Users.”  Joe interviewed Frank Abagnale (yes, THE Frank Abagnale played by Leonardo DiCaprio in the movie, “Catch Me If You Can”) who will also be one of the keynote speakers at the conference itself.

    Frank spoke about a number of fraud related topics surrounding the QuickBooks market.  One of the topics that he stressed was check fraud.  Understandably, we were very happy he stressed this issue, because as Wellspring Software develops and sells PrintBoss, a check printing software, we are acutely aware of the check fraud that is prevalent today, but are also aware that many people are unaware.

    Frank discussed a number of things he is working on with Intuit to combat check fraud, particularly with their new high security check stock.  All of the points he made are not only salient, but important in the spread of check forgery awareness.  It is great that Intuit is taking these steps to make the check stock more secure, but at the same time, we are tempted to say (and I guess we areJ), it’s about time!  The check security technology Frank referenced and Intuit is advertising is not new technology.  Toner adhesion, invisible fluorescent fibers, micro printing, colored background, and chemically reactive paper have been around for years.  He actually mentioned how many of them have been used in currency, bond notes, and other documents for a long time.  In fact, our check stock has had all of that and more for over ten years AND it costs a fraction of the price you pay for Intuit stock.

    Once again, it is important for Intuit to take steps toward offering a higher security check stock, but what they are just beginning to offer now, we have been providing customers for over a decade and for a lot less.  Furthermore, there is one security benefit of blank check stock that preprinted QuickBooks checks will never be able to equal no matter the technology: blank checks are blank.  It’s obvious, as the name implies it, but the ramifications are enormous.  No matter how much technology is in your check, preprinted checks always say your account and routing numbers on them.  Due to this, your unused Intuit stock is always a liability.  With blank check stock, the account and routing numbers are only printed on the check when you process a check run.  In other words, until you process your payables, your unused check stock is as much a security risk as the reams of white paper in your supplies closet.

  • Growth of the World Wide Web and PrintBoss Check Printing Software: Chicken or the Egg?

    Everyone is celebrating this week as the World Wide Web turns 25.  It truly is a global birthday, as few can say they have never interacted with the global network.  “www.” has prefaced nearly every great startup over the past 25 years, and played a pivotal role in the development of the old stalwarts as well.  But has this network gotten too much credit?  Is it even responsible for its own success?

    Most this week have celebrated Tim Berners-Lee for his pioneering work as the inventor of the Web.  It is said that it was his proposal for an information management system in March of 1989 and his continued work as the director of the World Wide Web Consortium and the founder of the World Wide Web Foundation that has resulted in the Web’s ubiquitous acceptance and success today.  This is all well and good, but here at Wellspring Software we know that there is another correlation that is generally overlooked that is at least modestly responsible for the Web’s success.

    It is rarely documented and thus few realize that while the seed for the Web was planted in 1989 it was with the invention of a certain check printing software in 1990 that helped the Web gain popularity.  Back in those days, the software was called LaserCheck.  Developed by two young brothers, this DOS based application enabled small to mid-sized businesses to print their own checks.  Today, this software’s Windows based relative is known as PrintBoss.  Is it coincidence that as PrintBoss grew from its roots in 1990, the World Wide Web grew too?

  • If Payment Processing Were an Olympic Sport...

    It would be considered one of the greatest events.  It would be played like the decathlon, made up of several different events, each depending upon the speed, ease, and accuracy of the processed payment.  Each software would be required to complete each event and their aggregate scores would determine the winner.  The events would be representative of the many facets and methods of payment processing.  As vendors and employees alike prefer payment in different methods, the payment processing Olympic sport would take all of this into consideration.  So the events would be as follows:

    Wild card payment creation: This event would be held to symbolize that in the innovative payment processing industry, no company or person likes to be paid the same way.  In this event, softwares would be asked to create a payment file for processing.  The trick is that no one would know what type of file would be required to be made.  Is it an ACH, ePay, or Positive Pay file?  Only the prepared and agile softwares would succeed.

  • Print Checks to Blank Check Stock from Multiple Accounting Packages

    We talk a lot about QuickBooks on this blog and within this website.  This stands to reason as this site is dedicated to our QuickBooks users.  But lately we've received a bunch of inquiries asking if PrintBoss can be used with multiple accounting software packages.  Sometimes our clients use multiple versions of QuickBooks, while other times completely different accounting software packages are being used, like QuickBooks and Microsoft Dynamics.  The simple answer is yes, PrintBoss can manage multiple accounting software packages.

    If the second accounting package is included as one of our standard interfaces, you can run the PrintBoss setup program, choose the accounting software from the drop down and then choose the install type, “Add Different Accounting Host Files.” We would recommend that PrintBoss be updated to the latest version so you have the most current files for the new accounting software package.

    The only caveat is that PrintBoss select only operates with QuickBooks accounting packages.  If you want to use any accounting system outside of QuickBooks, you will need to have PrintBoss Standard or PrintBoss Enterprise.

  • Hidden Fees in QuickBooks® Check Printing Softwares

    Let’s talk about hidden fees.  In today’s price conscious, Internet age, hidden fees have become common practice.  It’s been popularized by the airline battles, namely by Southwest.

    But this same thing happens in the QuickBooks add-on marketplace.  From inventory management systems, to tax software, to check printing software the QuickBooks add-on market is designed to help QuickBooks users get the most out of their accounting software.  Yet how can a business judge the value of a product when the pricing of the add-on is not transparent?

    Here at Wellspring Software, we are particularly aware of this in regards to check printing softwares offered in the QuickBooks add-on marketplace.  In an effort to help you as the consumer better evaluate the cost and overall value of a check printing software, here are a few hidden fees you should look out for.  We follow each fee with guidelines on how these issues should be handled in what we call, the PrintBoss Way:

    Bank Account Validation

    Hidden Fee: Some check printing softwares require you to “validate” every bank account from which you print checks.  Often this means the software will draw a certain amount of money from your account (typically a number of cents) to verify that the account works.  For every account you open, this occurs and this money is never refunded.  Furthermore, this validation process takes 7-10 days typically.  Often they will offer an expedited validation process for a fee.

    PrintBoss Way: Adding a bank account to your check printing software should be quick, easy, and painless (i.e. cost nothing).  For heaven’s sake, these are your bank accounts!  Adding a new bank record should be as easy as filling out the necessary bank information (Bank name, address, MICR information, etc.) and then clicking OK.  No wasted time.  No wasted money.

    Customer Validation

    Hidden Fee: Like bank validation, some softwares require each customer that you are going to pay through your check printing software, to be validated.  Again, like the bank validation, this usually takes 7-10 days and costs a fee for processing and/or expediting.

    PrintBoss Way: Our philosophy is simple—these are your customers, you should be able to pay them simply and cheaply.  So there is no customer validation in PrintBoss.  When you pay invoices in QuickBooks, the information flows through to PrintBoss, and the check is printed.  There is no 7-10 day waiting period.  If you just started buying paper from a new supplier, cut them a check that same day, with no extra hassle.

    Extra Software

    Hidden Fee: Some check printing softwares won’t advertise that in order to use their software, you need to purchase some other add-on to enable you to print checks.  Whether that other add-on allows their software to connect with QuickBooks or is part of the numerous validation processes they make you go through, it costs you extra dough.

    Hidden Fee: Many check printing softwares come with a finite number of banks accounts available.  If you need more banks then you have to buy them.
